We are using your variable price app in our retail grocery POS.(Clover)  When we change a price on our meat scale, do we also have to change the price for that item in inventory of the Clover system?

For example, delmonico steaks were $32.99/lb on our scales.  We changed them to $29.99.  But, when the Clover system scans the barcode, it’s changing the weight of the steaks, and showing the old price of $32.99/lb.  But the total retail price is still correct.  So it’s “auto correcting”.  If the total retail is $140.00, it’s adjusting the weight at the old price to end up with the total price.

Is there a work around where we don’t have to adjust the price within Clover…or we need to?

CSI Works Support:

Switch the item price type in Clover to Variable instead of Per Unit. This way you’ll never have to adjust pricing in Clover.

This is the only work around without having to change prices everywhere any time price changes for an item.

I am inquiring about the inventory plus plus app. We have been trialing the app for a few days and I believe we are also set up for recurring payment once the trial is over.

I am trialing the Clover POS as well. I purchased one duo station for testing purposes to make sure the solution fits our needs. I need to make sure it 100 percent can encompass our retail operations before outfitting our stores with a total of 35 units. For the most part I believe the system will be quite an upgrade. However, the outstanding snag seems to be EBT usage.

The system needs to automatically take the tax off certain items as required by New York State for EBT purchases. We are a decent volume independent retailer who prides on being able to get our customers out the door promptly. We can’t pick and choose or quite frankly rely on cashiers to disseminate which items get tax and which ones don’t.

So I was excited when I found your app and thought the problem is solved. This app is exactly what we need to move forward with a transition to Clover. However, during testing we seem to be having some problems.

I am hoping you can help figure out a couple issues that I am having with the functionality of the app.

The most important issue is when I am in the split payment section for paying, some items only are in the EBT section at 50% and the other items section has the other 50%. The items should be in the EBT section for 100%.

Can this issue be resolved?

Second, it seems at times the app picks up and categorizes EBT items properly and other times it puts them in other items. They have been set up and selected as EBT so I don’t understand what is going on.

Any chance that this may also be rectified?

In a nutshell what you described is consistent with a known issue that we had released an update for is the fact that when you use QTY selector then choose an item in Clover our app was failing to trigger and those items would end up in Other section even if they belonged to EBT section. This issue has been resolved and update has been released to your account as of this morning.

Feel free to try again and the app will trigger consistently regardless of how items are selected.

I’ll be sure to add a review that sets them straight. Once we do a few more tests we are going to go through some live testing but if the EBT issue is solved I believe we will be switching to this set up for all three stores!

The first step would be to install all the required software from us via More Tools On Clover.

Then you’d identify your tobacco items you wish us to report against for the store.

Then you’d reach out to the store to initiate setup of scan data reporting by your company. They will setup on their end and provide us with credentials we can then use to begin sending data to the store on your behalf.

This will bring you up to testing with them.

Once the store approves your account to production, you’ll start doing discounts for customers for which then the store would re-imburse you.

We have an issue with a Clover system using the Variable Price Barcode Parser app with a Kitchen Scale. The issue is that the scale weighs and calculates the final price for the product, yet when the barcode is scanned on the Clover, for some reason one cent is subtracted from the total price.  It only happens occasionally with random items, so we suspect it might have something to do with a Rounding Error/Issue.

CSI Works Support:

Yes, I am very well familiar with the issue. You are correct it is in fact rounding issue because of double rounding once by scale once by our app on clover.

Scale figures out total price by calculating weight to unit price. We take total price and calculate down to figure out total weight. Sometimes the number is off by a cent either direction very rarely or even in one merchant not on all items.

There are 2 ways of solving this

  1. Switch your item price type from “Per Unit” to “Variable” This is the quickest way to solve the issue. The reason why this works is because we will stop reverse calculation to a number that scale started from and simply will pass total price into variable priced item.

OR

  1. Change your scale to encode weight instead of price into barcode. And on clover end switch from Variable price barcode parser to Weight embedded barcode parser. That way scale will stop doing an extra calculation because it will send total weight and our Weight Embedded Barcode parser will pick up total weight and calculate total price which will always match what scale calculated because we are both using same base number “total weight”

This solution is more involved and requires settings change on scale and app swap on clover. The inventory part will remain intact you will just need to switch apps after scale has been reconfigured to encode different barcode (weight instead of price).

Many thanks for your email. I think I was trying to do something that the app can’t do, but I think I have worked around it.  I was trying to set up a mix and match discount that would take any 3 products from a selected range and when 3 products were added to the order it would make the total order price £10.

Is there a way to do this?

Once that update is approved you’d be able to do what you described.

I was able to get an answer from Clover about the permission error.

They said that because after you installed our app we changed permission settings and now to get all the new settings you have to uninstall and install the app again.  That should take care of the issue.

CSI Works Support: The setup you have may not work because you probably won’t be able to program the printer individually to print weight or price embedded barcodes.

I do have the advanced fee app installed and running.  All orders that use credit cards get charged a 3.5% fee.  I ran these transactions via loopz gift card app and they were run as store credits so the app shouldn’t charge a fee.

CSI Works Support: The app (Advanced Fees) is not designed for credit card surcharge.

It does not trigger on selection of payment type. In fact, we recently had Clover take the app off market for a few days while they investigate if we advertise it as such. We don’t.

It can trigger the fee based on a question which pops up only in Clover Register app.

Question can be controlled by you.

Merchant: We are looking at possibly switching to a Clover Station POS system. With our existing system, we enter customers by a Customer Number, similar to an account number. We generate their customer # chronologically, from another database app we use, and assign in the order they complete our facility orientation. So, right now, we have #1 to around #19,500 or so.

If we switch to Clover, we’d like to still use customer numbers and be able to quickly pull up a customer by customer # to add to a transaction.

How does your app handle this?

I have a CAS LP-1000. When I set up the barcode to clover with the 6 digit and scan, it comes out not as what the video show.
 
For example, I have a CAS barcode 0200174404233 label priced at $4.23, and I enter "200174" for the clover product code. The price should come out as $4.23 but comes out as $404.23.
 

How do I fix this?

To correct the issue, you are having open Variable Price Barcode Parser app.

 

On the top right-hand side corner, you will see an icon for settings (looks like gear head) Click on that icon

 

Once you click on settings Icon you will see two different barcode formats:

 

One for $999.99 and one for $99.99

 

You need to choose the one that’s for $99.99 and hit save.

 

This will take care of the issue you are having.

The Flex Valet app allows for the creation of different price plans which can be used as different price plans for Cash customers or for credit card customers.

Just add new tender type and call it something that lets you know that its for future payment. CSI Works Support:Below error email is generated by our software which gathers the reports and sends them to Tobacco Scan Data folks.

We send reports according to schedule, weekly. Before sending the report, our software validates it like Altria or Reynolds would, and if it has error, our app will trigger the email you are seeing. If you login to your Clover account on web (Dashboard) and navigate to Tobacco Scan Data app and in corresponding date you will see error and upon clicking on view details you should be able to see the error.  I believe there is 1 day lag between error message and report being sent to Altria or Reynolds. If you address the validation errors before the report is sent then corrected information will be included in the report.

Merchant: Do we have to enter Cartons separately and single packs separately. How does that work as far as the Scan data program is concerned ?

 

It might be difficult managing inventory for cartons vs packs as we get it in as cartons and few of them are sold as individual packets while some will be full cartons. 

 

Merchant: scan data items need to be entered differently because Carton has its own upc code and pack its own.

Also, there is a field for consumable units of measure where pack is 1 consumable unit and carton is 10 consumable units.

 

As far as selling is concerned if you are selling exactly cartons you can scan cartons. If you are opening carton to sell packs then you scan packs.

This way you scan exactly what you sell either packs or cartons.

CSI Works Support: We don’t have a way to restrict issuance of discounts. If you tried restricting the employee permissions from discounting and that did not work then we don’t have anything that would prevent it.

We do have an Employee Fraud Prevention app that monitors for undesirable activity and alerts via email. This app has an alert for issuance of discount by selected employee. There are other things it monitors as well.

The name of that app is Employee Tracker and can be found on the app market if this solution is feasible.

Problem Statement:

Merchant: We have an issue with a Clover system using the Variable Price Barcode Parser app with a Kitchen Scale. The issue is that the scale weighs and calculates the final price for the product, yet when the barcode is scanned on the Clover, for some reason one cent is subtracted from the total price.  It only happens occasionally with random items, so we suspect it might have something to do with a Rounding Error/Issue. I have attached 3 images that show exactly what is happening.

Solution:

CSI Works support: Yes, I am very well familiar with this issue. You are correct, it is in fact a rounding issue because of double rounding, once by the scale and once by our app on clover.

The scale figures out total price by calculating weight to unit price. We take the total price and calculate down to figure out the total weight. Sometimes the number is off by a cent either direction very rarely or even in one merchant not on all items.

 

There are 2 ways of solving this

  1. Switch your item price type from “Per Unit” to “Variable” This is the quickest way to solve the issue. The reason why this works is because we will stop reverse calculation to a number that the scale started from and simply will pass total price into variable priced item.

OR

  1. Change your scale to encode weight instead of price into the barcode. On clovers end, switch from Variable price barcode parser to Weight embedded barcode parser. That way the scale will stop doing an extra calculation because it will send total weight and our Weight Embedded Barcode parser will pick up total weight and calculate total price which will always match what the scale calculated because we are both using same base number “total weight”

This solution is more involved and requires setting changes on the scale and an app swap on clover. The inventory part will remain intact, you will just need to switch apps after the scale has been reconfigured to encode a different barcode (weight instead of price)

What the app cannot do is let you pick any six items from the previously assigned list and discount all different items if bundled.

Clover Support Agent: The barcode parser worked when we scanned it on the internal, built-in scanner but not the external scanner.

CSI Works Pre-sale Support: If it doesn’t work with the external scanner, that means that you didn’t buy the scanner from Clover. You have to buy it from Clover. Give them a call. Other scanners won’t work.

Clover Support Agent: The only problem is that they want handheld, and this doesn’t have handheld.

CSI Works Pre-sale Support: Clover has a handheld solution.

 

Clover Support Agent: No no, something that they can pick up from the counter and take it to the ground like for if there’s any heavy stuff. The salesperson wants a completely handheld mobile scanner that they can take anywhere in the store. Not one that connects by a wire.

Solution:

 

CSI Works Pre-sale Support: Sell them a Flex.  Clover Flex can do that, but for the station, they need to either use a built-in barcode scanner, because the scanner that they have is not gonna work. They have to buy from Clover, since it has special codes in it. If the merchant needs something to walk around in the store with, sell them a Flex.

CSI Works Pre-sale Support: You have two solutions. 

Our official recommendation is to buy the Clover Flex. It can scan a barcode and add it to an order so that you can proceed with checkout when the customer has a heavy item far from the station.

Clover Support Agent: How about the tickets. This is like a traditional grocery store type of deal, and sometimes we have very heavy, 40-lb items that have arrived. So, while the customer is checking out all these items, if the merchant picks up a clover flex then the big item will go on a seperate ticket, it won’t go on the same ticket. 

CSI Works Pre-sale Support: Don’t worry about having multiple transactions, the Flex can add onto a transaction that was started at the Station, so there will only be one receipt.  We have a demonstration video.  

The other solution is to connect the Clover handheld usb scanner using USB-over-WiFi technology. We haven’t tested this solution, but it might work for you.

CSI Works: The app automatically starts to track when it is downloaded on a device. The interface is web-only, so you can only see the UI if you log into the same account through the web. You will be able to access the ability to set up alert triggers from the online interface.

Sales Agent: How do we access the online interface?

 

CSI Works: You just log into the Clover website with the same login as your device. You should use the merchant account.

Sales Agent: I am seeing a screen that says “Select a Merchant” when I click on the employee tracker app on the web. My client has an old account and two current devices so we have three different merchant IDs. 

CSI Works: Our app does not integrate all merchant IDs/multiple locations into one app. You only choose one. 

Sales Agent: How do I set up the triggers for alerts?

CSI Works: First, you have to select at least one employee to track. Each employee costs $0.99 to track. You can set up triggers under “tracking rules”. Triggers include deletion of open orders and issuance of discounts.

Sales Agent: I am seeing an analytics tab.

CSI Works: You will see this tab start to automatically fill up with information after about a day. The information just includes employee analysis and quality of transactions.

Sales Agent: I am looking at tracking rules now.

CSI Works: The tracking rules is where the owner can decide what kind of employee actions trigger the system to save and store that data. We offer about five different options for tracking triggers. This includes deletion of open orders, deletion of items, discounts, refunds, and logins.

Sales Agent: Why would we need to track logins?

CSI Works: If an employee figures out an admin’s login then nobody would know and therefore they could get away without being tracked. But when you track logins, then you can see if there is any suspicious behavior. If you see suspicious logins, then you can look at security footage and see who was logging in at that time. If there are too many triggers you can always go into the settings and disable them at a later date.

Merchant: Yeah, the price is off. Like, in the one’s digit isn’t a zero, it’s saying like three hundred dollars and twenty two cents ($300.22). It should be just $0.22.

CSI Works Support: Please go to your Clover and open the Variable Price Barcode Parser app, our app. On the top-right corner you should see a settings icon.

So, click on that, and choose the other barcode option. (it should say $99.99 and $999.99, pick the $99.99 one.)

CSI Works Support: So, tell me how you set this up on Clover?

Merchant: It just doesn’t read it. I just type the price. Before, you had me program it, I had only one barcode, and its Product Code on Clover is 200000, that’s the code you gave to me. This one seems to have more 0s.

CSI Works Support: So in Clover, in the inventory, what are you putting for the product code?

Merchant: I don’t put anything. I just purchased this scale 3 days ago

Merchant: I have an item called Meat. And I used to have the previous barcode that you gave me.

CSI Works Support: What is Meat’s product code?

Merchant: I have 200,000.

CSI Works Support: Can you make it just 6 zeroes? (000000), without the two?

Merchant: Yes. It was working fine before.

CSI Works Support: Oh okay, you just changed the scale. Can you try to scan it now, in the register?

Merchant: Ok, good. Now I have a question: I sell different kinds of meat, lamb, goat, chicken,... and before my previous scale, I couldn’t program it, so we set up all barcodes for one kind of meat. That made Clover’s inventory change report say that there’s just meat that has been sold. But it doesn’t tell me what kind of meat. So now I wanna separate it. I tried to find the Tor-rey W-Label website, but I couldn’t find it. I’m having an issue programming it because I can’t find the manual. I didn’t get a CD with the scale, and I’m trying to get help from Youtube.

You also should be able to find a manual for this scale somewhere on the internet.

You can add items to the Tor-rey scale and then add them to Clover, and it would work.

Merchant: but I’ll need a different barcode, right?

CSI Works Support: When you add your items to the scale, it will print a different barcode for every different item.

Merchant: So suppose I add an item Lamb with a PLU 101 and Beef is 102, It’s gonna generate a different barcode?

CSI Works Support: Yes, and then Clover will recognise it as lamb or as beef.

Merchant: So I don’t have to change anything in Clover.

CSI Works Support: No, once you do need to do it: you have to add all of your meat to your scale and then add all of your meat to your Clover

Merchant: So when I put the item into Clover, what product code do I put for the Lamb?

 

CSI Works Support: Well, I looked at the barcode that you printed from the Tor-rey and I see that it’s six zeros (000000), so when you create a different plu, the first 7 digits (you want to enter 6 of them into Clover, leave the first one or the seventh one out) will be different, so you’ll use those digits instead. 

To get the product code that will work for Clover, do this:

 

After getting the Weight-Embedded Barcode Parser and enabling it (open the app and it will tell you what you need to do), go to the inventory app on Clover and put the 6 digits between the 7th-to-last digit in the barcode and the 12th-to-last digit in the barcode as the product code:

And also give the item a name. If you are using the weight-embedded parser, you must put the price per unit into the inventory app as well.

Merchant: I sent you another label, it’s not working.

CSI Works Support: Try to change it from 000000 to 200000.

Merchant: Yess, now it’s working. Thank you. So now, next time or tomorrow I’m gonna start entering the products by code into my torrey scale. So normally, I’m gonna say this is lamb, this is chicken leg, this is chicken breast, so when I print them and scan on the clover, it should say chicken breast.

CSI Works Support: What you did to put this item in Clover, do the same thing on your scale. Use the same name, and find the product code. Enter all the items into both Clover and your scale. Not all of the product codes will be 200000 like I sent you, the 6-digit number depends on what’s on the product code. 200000 is only for this item. For the other item, you want it to be something like 000001 or 20001 or 001337.

 

Merchant: When I create a new product, I’m gonna see what it’s gonna print and then go from there.

Our Variable Price Barcode Parser app allows Clover to understand price embedded barcodes based on the EAN-13 or UPC-12 standard: these barcodes usually come out of label-printing scales, such as those produced by CAS and Tor-rey.

This app will have no effect on 12-digit product codes that can be found on cereal boxes and other factory-packaged goods.

Gift cards, credit cards, and membership cards won’t be affected since the barcode doesn’t change when used, and therefore a much more complicated system needs to be used to process these transactions.

To allow the Variable Price Barcode Parser to function, you need to enter into the inventory app and add the product name and its 6-digit product code that appears within the first half of the barcode.

 

6-digit product code: this is the same number that you enter into your scale when setting up a new item within the inventory. For example, if your product code is 42, the scale will fill in the rest of the digits with other stuff, making the product code 050425. If a merchant already has product codes set up with shorter numbers, you can likely make a spreadsheet that will convert the shorter numbers to 6-digit codes based off of the format of the barcode that you print.

Agent: I wanted to talk to you about the Donation Kiosk and Donation Counter app, I want to know more about how they work. I am working with a non-profit and this non-profit wants to use Clover Go.

Solution Proposition:

CSI Works Support: We have not done anything with Clover Go. You will have to go with at least Clover Flex.

 

Agent: Can customers go by themselves to choose a donation and process it?

 

CSI Works Support: Once you complete all the configurations, you can pick the donations displayed or leave it all up to the customer. Then you can put it in customer mode where the display is locked onto the Donation Kiosk app and they can’t wander around the device. The customer can only choose from options you configure, and the apps allows for customers to choose the amount or name of the donation. Afterwards, they go straight to the payment screen, nothing else. Once the payment is complete, the screen returns to the donation options. You can only exit the app by clicking all four corners of the screen simultaneously, so therefore, the customer is locked into it. 

 

Agent: What type of non-profit is this app usually used for?

 

CSI Works Support: Mostly churches. When there is an organization that doesn’t have products or sales and are just looking to make money through donations, this app works perfectly for them.

 

Agent: Can the transactions be processed through apple pay?

 

CSI Works Support: Yes. Any kind of transaction the device can do, the app can do.

 

Agent: Are the donations all anonymous, or can customers choose to display their name?

 

CSI Works Support: The name is automatically taken from the card used to process the transaction. You will always know the customer’s name. 

 

Agent: What is the difference between the Donation Kiosk and the Donation Counter app?

 

CSI Works Support: The fundraiser counter is a different program, it doesn’t ask for money from customers at all. If you have a business, for example, that says “If you buy from us, we will give 5% to this mission, we are fundraising money for the homeless or this church”, basically the merchant says “If you buy from me, we will take part of what you’ve paid us and we will make a donation.”

 

Agent: Can you round up on a customer’s order?

 

CSI Works Support: No, it’s not about taking money from customers. Rounding up would be taking from the customer. Are you familiar with Toms Shoes? 

 

Agent: Yes.

 

CSI Works Support: So Toms Shoes says that every time you buy a pair of shoes they will donate a pair to somebody else. If you have a business that wants to say that, a business that wants to say “Everytime you buy from us we will donate” this is the program. The business doesn’t ask anything of the customer, the customer just sees that their purchase adds to the donation. This is very different from Donation Kiosk because Donation Kiosk says “Give me money” and Donation Counter says “Buy stuff and we will give money”. There’s also a screen that you can display on any smart screen or any TV screen that has internet, we provide a URL that shows the donation fund going up every time a transaction happens. The customer can therefore say “Oh I just bought this and now $5 is being donated.” If you have a business that supports local communities, like a pizza place that supports a kid’s baseball team, and they are fundraising for them, then this is an app they can use. Whereas the first one is all about churches and asking for money straight up.

Merchant: We want a scale that produces a barcode that integrates with a POS system and helps keep track of our inventory. We already use an inventory system for the wholesale side of our business. We need the inventory to tell me how many pounds of meat we’ve sold by the end of the day, every day.

Solution Proposition:

CSI Works Support Agent: You’ll switch your POS to Clover?
We developed an app that sits on top of Clover in their app market. Our app allows the use of any label-printing scale with Clover that produces a barcode. We also sell CAS label-printing scales and Tor-rey label-printing scales, as well as a CAS scale that connects directly to a clover device.

Merchant: We already have a CAS barcode-printing scale.

CSI Works Support Agent: You can use this scale with Clover, without a physical connection. The scale will print labels and our Clover app will process the inventory during the transaction with the customer. Both devices can be in any two locations in the store.
The printed price-embedded barcode will have two pieces of information: the item identification code and the total price. Our clover app, Variable Price Barcode Parser, will understand this information and help do the transaction and inventory update easily.

CSI Works Support Agent: Clover itself has pretty basic inventory tracking so without additional apps, you can specify a certain amount of poundage of a product in the inventory and then with every transaction, Clover itself will deplete the inventory automatically with every purchase (except refunds).

Merchant: Our current POS, Shoppify, isn’t working because it doesn’t seem to integrate with our scales.

CSI Works Support Agent: No, Shoppify doesn’t integrate with scales. That’s the number two reason I see people switch to Clover. The only thing you would have to manually do in Clover is manually enter when you receive sellable material from your supplier, you have to do some addition and enter the new total poundage into your inventory.

Merchant: How about online orders? We take orders through Shopify.

CSI Works Support Agent: There’s no easy way, but the most common solution on Clover is to accept payment online and when they come to the store, give the person the merchandise and add a custom tender type; call it “Shopify Order” or “Uber Eats Order”, etc. Instead of taking the money from the customer again, change the tender type to count the order in the reports/inventory but allow the person to pay online and just get the merchandise.

Merchant: Here is the scenario I am working with: 

  • We use a Clover station 2018.

  • I have the item set up according to the instructions. I set up a few different items in the system. 

  • I tried to utilize an external scanner (usb) and it would not work. 

The external scanner seems to be stripping the leading character away, but when I scan the item in notepad and/or in Clover, the leading digit is there. 

  • When I used the internal camera, the program worked just fine.

Solution:

CSI Works support: Is it possible that your external scanner is not purchased from Clover?

Merchant: I-is it that specific??

CSI Works Support: It has to be that specific. The built-in camera with a software scanner in the clover device can scan weight-embedded barcodes just fine, but a usb scanner not from clover works less like a linear camera and more like a keyboard, just outputting a string of numbers when it scans. Make sure to use a Clover barcode scanner for weight-embedded barcodes because other barcode scanners will not work. Fixed-price items work fine sometimes with non-clover scanners because you can enter their codes and serial numbers by keyboard, while the clover scanner will scan half the barcode to get the item code and then the other half of the barcode to get the weight or price.

Clover sells two scanners, one that is on a wire and you scan things with it; the other one is stationary so you can scan against it.

 

Merchant: So you’re telling me the built-in camera, which is a Clover-developed app, works just fine.

 

CSI Works support: So your external scanner is not from Clover?

Merchant: It is, it’s a Honeywell 2D image scanner, a little bit more sophisticated.

CSI Works support: I know it’s misleading because it works on fixed-price (and therefore fixed-barcode) items, but that’s only because fixed-price items are sufficient for keyboard entry, where as us, we’re putting a bit of a logic into it: only read this part of the barcode and then only read the next part of the barcode. That function is really breaking everything up, because we’re not really dealing with a scanner, we’re dealing with a keyboard.

Problem Statement:

Merchant: We are using your app, the Variable Price Barcode Parser, I have a clover system. I downloaded the Weight Embedded Barcode Parser and the Variable Price one. For some reason, it’s not working on one of my Clover registers so I think I did something wrong.
Here is the scenario I am working with: both of CSI Works’ barcode parsers are installed

Troubleshooting:

CSI Works support: Send us a picture of your label.

Solution:

 

CSI Works support: This is a price embedded barcode (the price of the item is within the numbers of the barcode, the first 4 of the last 5 digits, “0620”.), so you need to use the Variable Price Barcode Parser. You need to uninstall the weight-embedded barcode parser:

Merchant: When I scan the barcode now, it comes up with the price of $106.20 (an extra $100 more than what’s on the label)

CSI Works support: The Barcode Parser App is reading an extra leading digit in the barcode, so you need to change it's settings:

> Open Variable Price Barcode Parser app > top-right corner there’s a settings icon, go there. > chose the barcode $99.99 format

Merchant: Back at the reister app, I scan again. It's working perfectly!
